Custom ERP vs Zoho
Zoho's app suite is well-built and widely used. Here's a neutral, factor-by-factor look at where it fits well and where a custom build serves you better.
Factor by Factor
Neither approach is universally better — the right one depends on how standard your process is and whether you want to own the platform outright.
Zoho
Each Zoho app (CRM, Books, Inventory, and others) is configurable — custom fields, layouts, and automation rules — within that app's own data model and limits.
Custom ERP
The data model, screens, and workflows are designed from scratch around your process, so there's no per-app boundary to configure around.
Zoho
Fast to start — sign up, configure the apps you need, and go. Suits businesses that want to be running within days rather than weeks.
Custom ERP
Starts with a discovery phase to map your process, then a build — typically 8–12 weeks. Slower to a first login, but the result is built for your process specifically.
Zoho
Zoho One and standalone Zoho apps are subscriptions — your data lives in Zoho's cloud, and the product roadmap, pricing, and feature set are set by Zoho.
Custom ERP
You own the source code, database, and infrastructure outright once delivered. No dependency on a vendor's roadmap or pricing changes.
Zoho
Strong for businesses whose sales, accounting, and operations look close to standard — Zoho's individual apps are well-built for common use cases.
Custom ERP
Built specifically for the workflows that don't fit a standard app — custom quotation logic, approval chains, and industry-specific process steps.
Zoho
Zoho One bundles 50+ apps that already talk to each other, plus a marketplace of third-party connectors — a strong option if most of what you need is already a Zoho app.
Custom ERP
Built to connect to whatever you actually use — Tally, WhatsApp Business API, payment gateways, GST/e-invoicing portals — scoped individually, not limited to a vendor's catalogue.
Zoho
Hosting, updates, and uptime are Zoho's responsibility as part of the subscription — you don't manage infrastructure, but you're also on Zoho's release schedule.
Custom ERP
Cloud hosting, daily backups, and SSL are covered by a monthly SaaS fee, with an optional AMC from Year 2 for enhancements and support — on your timeline.
Zoho
Scales by adding users or upgrading tiers within Zoho's pricing structure — straightforward, though cost is generally tied to user or employee count.
Custom ERP
Scales by adding modules and users as your business grows, without hitting a feature wall that requires a plan upgrade.
Zoho
Recurring per-user or per-employee subscription, typically billed annually. Lower upfront cost; ongoing cost scales with headcount and how many apps you need at a paid tier.
Custom ERP
One-time development fee (scoped to your requirements) plus a predictable monthly SaaS subscription. Higher upfront cost, no per-seat penalty as you hire.

Frequently Asked Questions
Is Zoho a bad choice compared to custom ERP?
No. Zoho's apps are well-built and genuinely useful for businesses whose processes are close to standard. Custom ERP makes more sense once your quotation logic, approval chains, or industry-specific workflow don't fit neatly into a Zoho app's model.
We already use Zoho CRM or Zoho Books — do we need to abandon it for a custom build?
Not necessarily. Some businesses keep Zoho for the parts that work well (accounting, for instance) and build a custom operations layer for the parts that don't fit — similar to how we integrate custom ERP builds with Tally rather than replacing it outright.
Does Zoho support GST and Indian compliance?
Zoho Books and related Zoho apps have India-specific features including GST support. Whether the current feature set covers your exact requirements is worth confirming directly with Zoho, since product details change over time and we can't speak to another vendor's current capabilities with certainty.
Is custom ERP always more expensive than Zoho One?
Not necessarily — it depends on your headcount and time horizon. Zoho's per-user or per-employee subscription can be cheaper upfront but compounds as your team grows. A custom build has a higher one-time cost but a flatter ongoing cost. See our cost breakdown for the factors that actually matter.
