The Problem

Building a new tour quote meant starting from a blank Word document every time — retyping the itinerary, inclusions, and pricing for packages the team had already quoted dozens of times before. With a team of 4–7 people juggling enquiries over WhatsApp and Excel, how fast a quote went out depended entirely on whoever was free to sit down and write it.

The Existing System

Itineraries built fresh in Word for each enquiry, bookings and availability tracked in Excel, and day-to-day coordination — who's handling which enquiry, what's been quoted, what's confirmed — happening over WhatsApp.

Why it fell short: None of the past itineraries or quotes were reusable in any structured way. Even a package sold twenty times still had to be retyped from scratch, and there was no way to search or reuse what had worked before — the team's own experience wasn't captured anywhere the system could use.

The Solution

We built a custom booking platform centered on the itinerary and quotation workflow — the part of the job the team spent the most time on. Agents can duplicate a past itinerary or package as the starting point for a new quote instead of writing it from scratch, and an AI-assisted quote builder turns a short brief into a draft itinerary and pricing that the agent then refines, rather than starts. Package management, bookings, and payment tracking round out day-to-day operations.
