Custom Travel Booking Platform for a 4–7 Person Tour Agency
A small tour agency moved off Word, Excel, and WhatsApp to a custom booking platform where agents duplicate past itineraries or use AI-assisted drafting to build new quotes — instead of retyping every package from a blank document.
Client
4–7 Person Tour Operator in India
Industry
Travel & Tourism
Company Size
4–7 employees
Timeline
6–8 weeks, sign-off to go-live
The Problem
Building a new tour quote meant starting from a blank Word document every time — retyping the itinerary, inclusions, and pricing for packages the team had already quoted dozens of times before. With a team of 4–7 people juggling enquiries over WhatsApp and Excel, how fast a quote went out depended entirely on whoever was free to sit down and write it.
The Existing System
Itineraries built fresh in Word for each enquiry, bookings and availability tracked in Excel, and day-to-day coordination — who's handling which enquiry, what's been quoted, what's confirmed — happening over WhatsApp.
Why it fell short: None of the past itineraries or quotes were reusable in any structured way. Even a package sold twenty times still had to be retyped from scratch, and there was no way to search or reuse what had worked before — the team's own experience wasn't captured anywhere the system could use.
Requirements
- A way to build new quotes faster than starting from a blank document every time
- Reuse of past itineraries and pricing instead of retyping them
- AI assistance to help agents draft a quote quickly from a short brief
- Booking and package management that fits how a small agency team actually works
The Solution
We built a custom booking platform centered on the itinerary and quotation workflow — the part of the job the team spent the most time on. Agents can duplicate a past itinerary or package as the starting point for a new quote instead of writing it from scratch, and an AI-assisted quote builder turns a short brief into a draft itinerary and pricing that the agent then refines, rather than starts. Package management, bookings, and payment tracking round out day-to-day operations.
Modules Built
- Itinerary Builder — AI-assisted quote generation from a short brief, with day-wise itineraries and dynamic pricing
- Package Management — reusable packages agents can duplicate and adapt instead of rebuilding
- Booking Management — passenger details, package selection, and capacity tracking per departure
- Payment Tracking — deposits, balance payments, and reminders per booking
Technology
- Next.js
- TypeScript
- Supabase (PostgreSQL)
- Vercel
Before vs. After
| Before | After |
|---|---|
| Every quote retyped from a blank Word document | Quotes started from a duplicated past itinerary or an AI-generated draft |
| Team's own quoting experience not captured anywhere reusable | Past itineraries and packages are searchable and reusable by the whole team |
| Quoting speed depended on whoever was free to write it out | Any agent can produce a draft quote quickly, then refine it |
Results
- Agents build new quotes noticeably faster using duplication and AI-assisted drafting instead of starting from scratch
- Package and itinerary knowledge is now shared and reusable across the whole team, not locked in one person's old files
