The Problem
Every new quotation was rebuilt from scratch. Pricing history lived in old Word documents and PDF quotes scattered across email and shared folders, so estimating a job meant digging through past files trying to remember what a similar order had cost — or asking around the office. There was no structured way to see which vendor had actually offered the best price for a given material or part in the past.
The Existing System
Quotations and order tracking in Excel and Word, accounts in Tally, and vendor correspondence in PDF quotes and email threads.
Why it fell short: None of these tools connected to each other. Quotation history, vendor pricing, and purchase records existed as disconnected files rather than structured, searchable data — so every new quote started from memory and guesswork instead of the company's own purchasing history.

The Solution
We built a scoped ERP covering enquiry-to-order, vendor and purchase management, and dispatch — and, critically, migrated the company's existing quotation and vendor history from their old Word, Excel, and PDF records into the new system before go-live. That migrated data is what makes the quotation module useful from day one: instead of starting from a blank page, the team builds new quotes against real historical pricing and can see which vendor has offered the best price for a given item in the past.
