What to Ask Any HRMS Vendor
- "Show me the attendance-to-payroll flow." If exporting attendance and re-entering it into payroll is still a manual step, the integration isn't real.
- "How are PF, ESI, and TDS calculated and filed?" If this still requires a separate compliance tool or a consultant re-keying data, you haven't actually solved the problem.
- "Can employees apply for leave and see their balance themselves?" If HR still has to manually update balances after every approval, expect the same errors you have today.
- "Do you support client deployment billing?" (Staffing agencies only.) If deployed staff and client invoices are separate modules that don't talk to each other, you'll still be reconciling by hand.
- "Can we add a module — like recruitment or performance reviews — after go-live?" A well-built system is modular. If adding one means rebuilding the core, the architecture isn't solid.
Common Mistakes Businesses Make When Buying HRMS
Treating compliance as an afterthought. PF, ESI, and TDS rules change and carry real penalties for errors. Confirm compliance is a core part of the system, not a manual workaround layered on top.
Ignoring the employee experience. If applying for leave or checking a payslip still means asking HR directly, adoption will be low and HR will still field the same requests they were trying to eliminate.
Underestimating data migration. Moving employee history, leave balances, and past payroll records into a new system takes real effort. Plan for it explicitly before go-live, not as an afterthought.
