One of the first questions Indian business owners ask when exploring custom ERP is: "What will it cost?" The honest answer is — it depends. But that's not very helpful, so here's a practical breakdown of what drives the cost of a custom ERP project in India, and what realistic numbers look like for SMEs and mid-market companies.

What Drives the Cost of a Custom ERP?

1. Number of Modules

An ERP is essentially a collection of modules — Sales, Purchase, Inventory, Finance, Projects, HR, Dispatch, Quality, and so on. Each module requires design, development, testing, and integration work. A basic system with 3–4 modules is dramatically cheaper than a full suite with 10+ modules.

2. Number of Users

More users means more licensing on the infrastructure side, more roles and permissions to configure, and more training. Systems designed for 5 users look very different from ones built for 100.

3. Integrations

Do you need to connect your ERP to Tally for accounting? WhatsApp for notifications? A GST portal for e-invoicing? Payment gateways? Each integration adds scope. Some are straightforward (a few days of work); others — like government GST integrations — can be complex.

4. Custom Workflows and Approvals

Simple list-and-form applications cost less than systems with multi-level approval chains, automated triggers, escalations, and role-based dashboards. The more your workflow deviates from "enter data, save, view" — the more it costs.

  • Starter (3–5 modules, up to 15 users): ₹3–8 lakh one-time build fee
  • Mid-range (6–9 modules, up to 50 users): ₹8–20 lakh one-time build fee
  • Full suite (10+ modules, 50–200 users): ₹20–50 lakh one-time build fee

These are build fees — what you pay once for development. On top of this, most SaaS ERP providers charge a monthly subscription fee (typically ₹5,000–₹25,000/month) that covers cloud hosting, database, backups, SSL, uptime monitoring, and support.

What to Watch Out For

Watch for providers who quote a low build fee but charge separately for every small change post-launch. Always clarify what's included in the monthly fee and what triggers extra charges.

Vendor Lock-In

Some vendors build your ERP on proprietary platforms that make it impossible to migrate away. Insist that your data and codebase can be exported. The best vendors are transparent about their tech stack.

Off-the-Shelf Disguised as Custom

Some companies sell a lightly configured off-the-shelf product as "custom ERP." Ask specifically: is this built from scratch for my business, or is this an existing product with my logo on it? The answer matters a lot when your workflows don't fit the template.

Is Custom ERP Worth the Cost?

For most Indian SMEs dealing with more than 20–30 transactions a day, managing multiple departments, or running projects — the answer is yes. The cost of Excel errors, missed follow-ups, manual reconciliation, and staff time wasted on WhatsApp coordination almost always exceeds the cost of a properly built system within 12–18 months.

The key is to scope it right. Start with the modules you genuinely need today, not what you might need in five years. A good custom ERP partner will tell you what not to build as readily as what to build.
